Scanning & Imaging

Agilis has been on a complete electronic imaging platform for many years and offers a Check 21 platform for clients whose banks have been certified to receive electronic presentment. We scan and create front-and-back digital images of all checks, response forms, letters or notes from donors, as well as any other document or form requested by our clients. The vast majority of the images are of checks and response forms, and these are typically scanned while they are running down our transports, which can manage up to 500 documents per minute.

We also utilize high-speed flat-bed scanners for oversized or odd-shaped “non-transportable” documents that won’t run efficiently through our transports. We work closely with our clients, their marketing agency and their print vendors as they develop their various forms and documents to ensure we are able to efficiently process and scan whatever the client ultimately chooses to use. Through the duality of transports and high-speed flat-bed scanners, we are typically able to scan and image 100% of clients’ documents.

All scanned images are uploaded to our secure eVision image platform on a daily basis and are available for viewing seven days a week, 24 hours a day, 365 days a year. Generally available to our clients for a full year online, these digital images are very crisp, load quickly and are a great resource for donor relations, internal queries and CPA audits. With more than three dozen customized flags to facilitate the search/query process, finding a specific document or transaction or types of transactions is quick and simple. Furthermore, given these images can be viewed, printed and emailed, our imaging capabilities largely eliminates the need for the photocopying and shipping of physical documents.
